A typical two-to-six-month journey from signature through hypercare and formal handover, organized into six clear phases. Ongoing Customer Success continues afterward.
Action for youmarks every place your team completes a questionnaire or gives written approval. You'll complete three questionnaires before scope is finalized and sign off at four key points: scope, migrated data, testing, and go-live.See all forms in one list

Phase 1 · Before signature
Evaluate
Before anything is signed, we agree what you need, how complex it is, and exactly what has been promised.
Action for you
Evaluate questionnaire. Sent by your Account Executive before contract. Your agency's structure, goals, systems and scope, so your proposal is priced right. Completing it unlocks your proposal and contract.
We shape the proposed Momentum AMP solution, assess implementation complexity, and write down every capability discussed during the sales process.
You receive
A clear proposed solution and a record of every commitment made to you.
Done when
The solution, tier, assumptions, and commitments are ready for commercial review.
Commercial and security
Commercial terms, security, legal, and compliance questions run alongside contracting.
You receive
Resolved commercial and security requirements and a clear contract path.
Done when
Requirements are resolved and the contract is signed.
Phase 2 · 1–2 weeks
Commit
Paperwork is done. We stand up your project, meet your team, and agree how we will work together.
Action for you
Project set-up questionnaire. Sent by your Delivery Lead right after your contract is signed. Your project team, agency record, staff and producer lists, and sign-on. Completing it unlocks the Discovery workbook.
Your agreement is signed and your account moves from the sales team to the implementation team.
You receive
A named implementation lead and confirmation of everything you have purchased.
Done when
The implementation team has everything they need to start.
Setup
We create your project workspace, governance logs, and communication plan before anyone joins a call.
You receive
A project plan, a communication plan, and a clear list of who does what.
Done when
Your project is set up and your team roles are confirmed.
Customer kickoff
We run the kickoff meeting: introductions, the roadmap you are reading now, timelines, and what we need from you.
You receive
The roadmap, the meeting cadence, and a written list of your obligations.
Done when
Everyone knows the plan, the cadence, and their responsibilities.
Phase 3 · 2–4 weeks
Define
We map how your agency works today, agree what will be built, and you approve the scope in writing.
Action for you
Discovery workbook. Sent by your Delivery Lead during discovery, after Project set-up. If you need discovery before pricing, it may be sent right after the Evaluate instead — documents and uploads aren't needed until your contract is signed, and we'll re-confirm your answers at kickoff. How your agency works today: workflows, data, carriers, finance and reporting. Completing it lets us write your scope.
Scope sign-off. At the end of discovery, before building starts. You approve the complete implementation baseline, including the questionnaire and discovery sources, Order Form choices, open items, and any custom-work feasibility decision. Building starts after this, and later changes follow change control.
Working sessions where we document how your agency operates today and what your platform needs to do.
You receive
Documented requirements, a data mapping workbook, and an agreed training plan.
Done when
Requirements are captured and anything out of scope is written down.
Scope sign-off
We present the scope document. Once you approve it, dates become commitments and the build starts.
You receive
A scope document and a dated delivery plan.
Done when
You have signed the scope document.
Action for you · Your approval: Scope approval
Phase 4 · 4–12 weeks
Build
We configure Momentum AMP, move your data, test it together, and train your team.
Action for you
Data accuracy sign-off. Sent by your Data Migration Lead after the final trial conversion. After the final trial conversion, you confirm record counts and samples meet the agreed tolerance, trust and bank balances reconcile exactly, and every exception has an owner. This authorizes the final conversion plan.
Testing sign-off. Sent by your Delivery Lead once your agency's testing is complete. You confirm every in-scope deliverable was tested or explained. It can't be signed while a Severity 1 or 2 issue is open; any Severity 3 or 4 issue needs a workaround, owner and target date. Signing unlocks training and go-live readiness.
We configure Momentum AMP, build agreed workflows and integrations, and show you progress on a regular demo.
You receive
Regular demos and a record of what has been built and accepted.
Done when
Everything in scope is built and shown to you.
Data migration
After the final trial conversion, you review counts and samples, confirm trust and bank balances exactly, and assign every exception before authorizing the final conversion plan.
You receive
A migration report and a data validation review.
Done when
You have confirmed in writing that your data is correct.
Action for you · Your approval: Data accuracy sign-off
Testing
Your team tests every in-scope deliverable in a production-equivalent environment. Untested items are explained; Severity 1 and 2 issues block approval, and lower-severity issues need a workaround, owner and date.
You receive
Test scripts, a defect log, and the resolution of anything blocking.
Done when
Your project manager and Delivery Lead sign; training and go-live readiness may then proceed.
Action for you · Your approval: Testing sign-off
Training
After testing is signed off, we train your team on the categories you purchased, matched to how your agency actually works.
You receive
A training schedule, session materials, and attendance records.
Done when
Your team is trained and ready to work in Momentum AMP.
Phase 5 · 4–6 weeks
Launch
We make a joint go / no-go decision, switch you over, and stay close through the first weeks.
Action for you
Go-live sign-off. Sent by your Delivery Lead at the go / no-go meeting, before the switch-over. Before final conversion, you confirm the prior sign-offs, readiness evidence, switch-over owners and dates, accepted issues, and your decision: Go, Go with named conditions, or Not ready.
Before final conversion, we verify all prior sign-offs and readiness evidence, assign every cutover action, and record a Go, Go with conditions, or Not ready decision.
You receive
A cutover plan, cutover notices, and the go / no-go decision record.
Done when
You are live on Momentum AMP.
Action for you · Your approval: Go / no-go decision
Hypercare
Hypercare. We stay close, fix issues quickly, and track how Momentum AMP is being used.
You receive
A hypercare log and rapid response to anything that comes up.
Done when
Issues are resolved and usage is steady.
Steady-state Handover
We confirm your administrators hold Momentum AMP and that business-as-usual support routing works before releasing the account from hypercare.
You receive
Confirmation that hypercare exit criteria are met and your administrators hold the system.
Done when
Hypercare exit criteria are met and steady-state ownership is accepted.
Phase 6 · Handover, then ongoing
Adopt
Formal handover completes implementation; your long-term support and Customer Success relationship continues afterward.
Your Customer Success Manager will schedule regular reviews with you.
Handover
We confirm everything is running as business-as-usual, then hand you over to your long-term support team, with nothing outstanding.
You receive
A Stage 12 Handover Record and named ongoing contacts.
Done when
No open risks remain, support routing is proven, and your ongoing team is in place.
Grow
Regular business reviews to check Momentum AMP is delivering, and to plan what comes next.
You receive
Business review sessions and an agreed plan for future phases.
Done when
Ongoing — this continues for the life of the partnership.
Optional route · Stages 4–8 · quoted and priced separately
Custom development (exception only)
Custom development is outside the standard Momentum AMP implementation. It is only considered when a requirement genuinely cannot be met with standard configuration, and it is quoted and priced separately from your implementation.
You receive
A written scope of work and change order, quoted and approved before any work begins, with built functionality tested and accepted before go-live.
Done when
The custom work is approved and priced separately in writing, built outside the standard timeline, and tested and accepted during UAT.
Who takes part
Your project lead, our engineering authority, and your executive sponsor for written approval.
